Abstracts: Frequently Asked Questions

Below are frequently asked questions about submitting an abstract for GLMA’s Annual Conference.

To contact us, please email us at annualconference@glma.org.

Q: Do I need to be a member of GLMA to submit an abstract?
A: No, you do not need to be a member of GLMA to submit. Anyone can submit an abstract.

Q: What types of abstracts are considered for the GLMA Annual Conference?
A: GLMA is calling for two types of abstract submissions: Workshop Sessions and Original Research. Workshops are interactive sessions with multidisciplinary attendees and should be developed to allow for an in-depth presentation and discussion of a topic. Original Research abstracts will be considered for either the Oral Research Presentations or Poster Presentations and include sections on background, methods, results and discussion. For more information, please see the Guidelines for Submitting an Abstract.

Q: May I present my research if it has been published or presented elsewhere?
A: Yes, GLMA encourages the submission of research that has been published or presented elsewhere as well as research not previously published or presented. You will be asked during the abstract submission process to indicate if it has been published or presented previously.

Q: Do I have to commit to attending the Annual Conference in person in order for my abstract to be considered?
A: Yes, all presenters must be available to attend in person in Charlotte, NC. Unfortunately, we will not have a hybrid option for presenters.

Q: Does my research need to be completed to submit an abstract?
A: Yes, all research must be completed in order to submit an abstract. Research results are expected to be included in the abstract.

Q: Does the word count in the abstract submission process count statistics and citations?
A: Yes (statistics cited) and no (citations). The word count in the online abstract submission system includes any statistics cited, including for research results. However, there’s a separate question where citations for the abstract can be included.

Q: May I present multiple times during the conference?
A: Yes, individuals are permitted to submit multiple abstracts and, if selected for inclusion, permitted to present multiple times during the conference.

Q: Can I resume my submission or revise an already completed submission at a later time?
A: Yes; you can. You can access an incomplete abstract or revise a completed abstract by clicking here. Use the primary presenter email and the unique passcode originally e-mailed at the start of your abstract submission. (Please note, every abstract has a unique passcode associated with it, which will be e-mailed to you at the start of your submission. If you are submitting multiple abstracts, be sure to keep track of the unique passcode associated with each submission in order to access or resume your submission at a later time). For more information, please see the Technical Instructions for Online Abstract Submission.

Q: I have lost my unique abstract passcode. How can I access my incomplete or submitted abstract?
A: Email annualconference@glma.org with the primary presenter’s name, e-mail, and abstract title, and we will resend you the email containing your unique passcode.

Q: Will my abstract be considered for one or more of the Tracks?
A: GLMA's Annual Conference will have four Tracks: Standards of Care, Clinical Care in Context, Personal & Professional Development, and the Nursing Section Track. When you submit your abstract(s), you will be asked to select at least one Track to be considered for. You can select multiple Tracks for consideration.

Q: Will my abstract be considered CE/CME credit?
A: GLMA is an accredited CE/CME provider and abstracts that wish to be consider for CE/CME can indicate so in the submission portal.

Q: Do I need to have all my presenters lined up (and included on my abstract) prior to submitting the abstract?
A: Yes; all presenters MUST be determined prior to finalizing the abstract submission. Additionally, all presenters MUST complete the required Presenter Forms in SurveyMonkey by the abstract submission deadline. Presenters’ qualifications are considered when selecting abstracts for inclusion in GLMA’s Annual Conference. Only in special circumstances (and with GLMA’s permission) will abstracts accepted for inclusion in the conference have the opportunity to add presenters. Note: Poster sessions are permitted one presenter and workshop sessions are permitted up to four presenters.

Q: Can my proposed Original Research abstract have multiple presenters?
A: No, only ONE author of a study may present during an Original Research presentation (either oral research or poster). Only workshops may have multiple presenters (up to four). Do not list additional authors in the abstract submission under presenters. Other authors may be listed in the presentation materials prepared by the presenter (within the slide presentation or posters). We recognize that recognition of authorship is important, and there is a space in the portal to acknowledge other authors who will not be presenting with you.

Q: I didn’t receive a confirmation email that my abstract was submitted. Was it?
A: Once you click submit in the online system, you should see a screen that says Your Abstract has been submitted. A confirmation email has been sent. If you did not see this screen and did not receive a confirmation email from noreply@memberleap.com, please go back to your abstract submission (using the unique passcode emailed to you at the start of your submission) and hit Confirm and Submission the last page. If you still have not received a confirmation email, please check your spam folder before emailing annualconference@glma.org.

Q: When will I know if my abstract has been selected?
A: Notifications from annualconference@glma.org will be sent to the primary presenters email alerting them of the Education Committee’s decision.  Decision notifications are anticipated no later than June 1st for workshops and June 17th for original research.

Q: If my abstract is selected, will I receive a discount to the conference?

If you register before notification of your selection, you will be eligible for a 50% refund (simply email annualconference@glma.org to process the refund). Practice with Pride

This year's conference theme, Practice with Pride, serves as a powerful reminder of the collective power of pride as we shape a better and healthier future for the LGBTQ+ community. The theme underscores the profound connection between LGBTQ+ representation, allyship, and health equity, recognizing that a healthcare system that authentically reflects and respects the diversity of the population it serves is better equipped to address the unique needs and challenges faced by LGBTQ+ individuals.

By practicing with pride, health professionals create a more inclusive and equitable healthcare landscape for everyone.
